As Executive Secretary to the COO of the Greiner Group, you will play a key role in efficiently supporting day-to-day operations at top management level. Your Challenge

  • Executive Support to the COO: Independent organization and coordination of appointments and meetings at board/management level, as well as manage the COO’s calendar with the utmost care.
  • Communication & Office Management: Handle incoming email correspondence and serving as the first point of contact for incoming calls on behalf of the COO.
  • Central Interface with Global Visibility & Network: Ensure smooth information flow and a professional external presence with internal and external stakeholders.
  • Meeting & Event Coordination: Organizing internal events and external appearances of the COO; full coordination of meetings including invitations, room bookings, technical setup, and catering.
  • Collaboration: Close cooperation with the Executive Assistant to the COO, the Executive Secretaries and Assistants to the CEO and CFO, as well as with divisions and functions.
  • Document Preparation: Printing and compiling existing materials to ensure optimal preparation for appointments and events.
  • Travel & Expense Management: Planning and booking of national and international business trips including travel documents and agendas; processing of credit card and travel expense reports, receipt management, time tracking, and company car administration.

Your Profile

  • Completed commercial education (A-level equivalent or higher), or a comparable qualification
  • Several years of experience in a secretarial role, ideally within an international board/management environment
  • Proficiency in MS Office (Word, Excel, Outlook, Microsoft Teams); SAP knowledge is a plus
  • Excellent written and spoken German and English; confident and professional communication style at board/management level.
  • Strong organizational skills and a service-oriented attitude with a confident demeanor.
  • High level of discretion, reliability, and flexibility
  • Independent, structured, and conscientious work style

Due to legal standards in Austria, we are required to disclose the minimum annual gross salary for the position as defined by the collective agreement, which amounts EUR 49,946.40. (collective agreement for chemical industry). A willingness to offer additional compensation based on your individual profile and professional experience is a given.
